It is your responsibility as a staff member to read, understand and implement the policies and procedures outlined in the staff manual.
If you have questions regarding the information contained in this manual, ask your supervisor for clarification BEFORE you sign your employment contract.

1. It is a requirement of the job that program staff arrive 15 minutes and camp staff arrive 30 minutes prior to the start of programs/camps.
2. Staff will be paid as identified in their individual contract.
3. Staff to wear the provided uniform and name tags.
4. Ensure that all participants leave safely prior to you leaving. Staff are responsible to make sure that they have written authorization from parent/guardian if they are unable to collect their child. Instructor/Counsellor to maintain record of authorization. Supervisor to receive copy.
5. Smoking is not allowed in Town of Markham or school facilities. It is your responsibility to make sure that participants and parents observe the NO SMOKING rule. Non-conformity to these requirements is to be reported to Program Coordinator.
6. Programs/camps are not usually cancelled due to poor weather conditions. If you feel that you cannot get to class/camp, notify the Program/Camp Supervisor as soon as possible so that a replacement can be called or the class cancelled. Do not take it upon yourself to cancel your class without authorization from Program Coordinator. If all classes/camps are cancelled due to weather conditions, you will be notified by the Recreation and Culture Department.
7. Instructors/Counsellors are responsible to assist in contacting participants when programs/camps are cancelled.
8. Do not accept or take responsibility for any valuables, no matter how small. The Corporation is not responsible for any lost or stolen articles. Any items found should be brought to the Supervisor's attention and logged.
9. Instructors/Counsellors must maintain an attendance list and record any medical problems. Attendance must be taken at the start and completion of programs/camps and at any time when there is a change of facility.Notification of any change of facility will be posted.
10. If any person is seen loitering around, inform Supervisor or Program Co-ordinator. If
level of concern is appropriate, dial the police number.
11. Please leave the facilities in a clean and tidy condition.
12. All camp staff must remain on site until officially dismissed by Supervisor.
13. Check the area you are using before, during and after class, especially the change rooms. Report any damage or theft immediately to the Program Co-ordinator (see theft and damage report.)
14. Introduce yourself to the maintenance and parks staff. Please be aware that it is necessary to maintain a good working relationship with all facility staff.
15. ABSENTEEISM: The Program Co-ordinator or Supervisor must be notified of your absence prior to start of class/camp. It is your responsibility to obtain a suitable replacement from the list of Instructors/Counsellors provided. Please submit an absence fo.,m to Supervisor with pay claim sheet.
16. All staff are required to have the appropriate first-aid training certificate. Program Co-ordinators have the required information.
17. For injuries and/or emergencies, see current level of Emergency Procedures.
18. Children of instructors who are participating in the activities must be registered as paying participants.
19. Instructors using the babysitting facilities provided at some locations must also register their children.
20. All camp staff are required to attend weekly staff meetings. Any changes in policy or procedures will be reviewed at this time.
21. Before the beginning of each session you will be given a list of all the campers in your group. Counsellors must phone parents several days prior to start of camp to introduce themselves and provide appropriate information.
22. SPECIAL NEEDS: The Town of Markham policy is to integrate special needs participants providing the program is enjoyable and safe.
23. Pay cheques will be automatically deposited into your bank account. Pay stubs can be picked up every second Friday at the reception desk of the facility where you work.
Under NO circumstances may a staff person solicit business for private gain dunng the period in which he or she is being contracted with the Town of Markham, Recreation and Culture Commission. Absolutely NO financial transactions may take place during contracted time or on Town-owned property.
Definition: The Recreation and Culture Commission defines solicitation as "promoting one's own professional activities/expertise duhng contracted time f.orpersonal or financial gain.'
Contracted staff may NOT utilize any Town information (i.e.: Town class lists) to promote or solicit Town participants outside of contracted time. Outside of contracted time includes time after a staff contract has expired.
Program participant information is confidential and is the property of the Town of Markham. This information cannot be used by staff for personal use.
SOLICITATION DURING CONTRACTED TIME OR UTILIZING PARTICIPANT INFORMATION FOR THE PURPOSE OF PERSONAL GAIN MAY RESULT IN IMMEDIATE TERMINATION.
POLICY STATEMENT: All program/camp staff instructing for the Town of Markham will wear designated uniforms.
PURPOSE: To maintain visibility to the public.
PROCESS: All program instructors will bid provided with a name tag.
All camp staff will be issued two T-shirts. Other items may be purchased.
Camp staff are not allowed to wear the following:
- short shorts
- cut-off jean shorts
- midriff shirts
- open-toed sandals
Uniforms can only be worn on staff time.
Staff hats or sports team hats only may be worn
You must leave one T-shirt in its original state.
CAMP T-SHIRT MUST BE WORN EVERYDAY!
POLICY STATEMENT: All Town of Markham camps will maintain a consistent staff/camper ratio
for safety.
PURPOSE: To be consistent across the Town in hiring summer staff and to ensure the
safety of the participants.
PROCESS:
Volunteers and L.I.T.'s cannot be used in the staff/participant ratio. They can be used to enhance the outing.
PROCESS:
I Registration: Please dl not accept registration.fees from participants. This is for your protection. If someone shows up wanting to join the class, and if and only if it is not full, allow them to stay the first class, but stress to them that they must be registered before you will allow them to return to the next class. There are registration forms in the back of the Recreation Guide. Saying "it is in the mail" or "I will do it tomorrow, does not hold a space for the person and, while the class may not be full the first day, registrations are continually being processed and until we actually receive that person's money they are not in the class. Just because they attended a class does not mean they are automatically in that class. If the class is full, there is usually a waiting list. Those people on the waiting list have priority over someone who just shows up for your class, so do not accept such people into your class. If your class is full, but registered people have not come to the first class, you have NO right to give away their places to anyone who just shows up. No registrations will be accepted after the fourth regularly scheduled class.
After the first class, d you feel you can take more people, please let us know before the second class so we can change our numbers and take more people into your class - be sure you can handle the extra numbers.
2. Refund Policy: Non-attendance by a participant does not constitute a notice of withdrawal from a class, neither does telling you, the instructor, that they will not be returning. Requests for refunds must be submitted in writing to the Registration Office. A ten ($10.00) dollar administrative fee per participant, per class will be applied to all refund requests received prior to the first regularly scheduled class. Please allow approximately five weeks for any refund to be processed.
3. Class Lists: These include the names of anyone who has paid by the time your class lists were prepared. We will try to keep you informed of changes, deletions, additions, etc. Please keep track of your attendance on the sheets provided as it helps us for evaluation purposes.
4. Cancelled Classes: Classes are cancelled Thanksgiving, Easter (Good Friday/Easter Monday), Christmas Break, March Break and Victoria Day. Please advise your participants. This applies to community centre facilities as well as schools. We will keep you informed of more cancellations as they occur.
PURPOSE: TO MAINTAIN EXCELLENT CUSTOMER SERVICE ACROSS THE TOWN
a) People who do not attend the first classes:
If a participant has not attended your class after the first day, please call him/her at home to find out why he/she has not attended. Many people forget that they have registered etc. Identify yourself as a Town of Markham Recreation and Culture employee as their instructor voicing your concern for their non-attendance. Please report any fluctuations in class registration to Program Supervisor.
b) Parent voices concern for your program
- Speak to them to determine the cause of the concern. Do this at the end of your class in an area where you can speak privately.
- Make Program Supervisor aware of the meeting and give them the name, etc., of the parent. Call the Program Co-ordinator to let them know what occurred as they may be called the next day also.
- As much as possible, try to deal with the concerns of your program yourself , but contact the Program Co-ordinator for their assistance and ensure the Program Co-ordinator is made aware of the situation.
C) Program Promotion
Remember, you represent the Town of Markham at all times during your program. It is our hope that we can keep our existing program participants "coming back". We realize this is influenced greatly by the quality of instruction, personality of the instructor, etc. Remember *keep the customer happy* as recreation and sport activities are supposed to make people's lives better. You are an important part of that!
d) Camp Calls
- Prior to camp starting, speak to the parent or guardian of each child in your group. Introduce yourself, tell them which camp, any special items they need to bring, etc. Answer any questions.
- During camp, contact parents regarding any disruptive camper behaviour, etc. Inform Camp Supervisor of your actions.
POLICY STATEMENT: To provide recreation programs and facilities that are enjoyable, safe, and economically feasible to all residents of the Town of Markham.
PURPOSE: INTEGRATING INDIVIDUALS WITH SPECIAL NEEDS
The Goal:
To include participants with special needs in recreational activities wherever and whenever
possible, keeping in mind the interests and abilities of the individual as well as the safety factor.
In the quest to achieve the goal of inclusion, our recreation programs have the following
objectives:
- To have FUN!
- To create opportunities that invite success for individuals with special needs and which
encourage them to reach their maximum potential.
- To raise the awareness of all participants regarding people with special needs in a
positive manner.
- To enforce that all children including special need participants are the responsibility of
the counsellor/instructor.
- To promote the ideology that regardless of people's differences one commonality is that
we are all human beings and deserve to be treated with dignity and respect.
- To provide an array of activities so that people with special needs can choose those that
appeal to them and meet their needs.
- To endeavour to build each individual's self-esteem as well as encourage independence
and autonomy among individuals with special needs.
- To encourage the development of friendships between people who have a disability and
those who do not.
PROCESS: Any special needs patron will pay the program/camp fee but the accompanying assistant or volunteer will not be charged.
The volunteer/mediator will be provided by the participant for programs.
The mediators for our summer camps are hired by the Town of Markham. Parents apply for funding to cover the costs of a summer mediator through community groups; therefore, most summer mediators are paid by a government grant.
Registration is responsible for notifying, as soon as possible, any special needs applications to the appropriate Program Co-ordinator.
BACKGROUND: Consistency to accommodate special needs people.
POLICY STATEMENT: It is a crime to kiss, fondle or have any sexual contact with anyone of any
age against his or her will. This is sexual assault, and it is a crime. The Criminal Code also includes other crimes of sexual abuse and exploitation of children and young people under 1 8 years of age.
PURPOSE: To establish a consistent procedure for reporting abuse.
PROCESS: Reporting procedures for child abuse.
1 . When an employee/volunteer suspects child abuse/neglect, or if a child has disclosed information, the counsellor reports this to his/her supervisor.
2. A report must be written up and the supervisor must then contact the Program Co-ordinator. The Program Co-ordinator, in conjunction with the supervisor and counsellor, will report to the Children's Aid Society, Markham.
3. The Program Co-ordinator will then contact the appropriate agency.
4. Responsibility for investigation and determination of child abuse/neglect rests with the. Children's Aid Society.
5. In situations where it is uncertain as to whether a report should be made, the Program Co-ordinator will consult with the Children's Aid Society.
PURPOSE: To provide safety for staff and participants.
Registered program participants and volunteers may only be transported by public vehicles during program times. These modes of transportation include:
- schoolbus
- public transportation (i.e. Markham Transit)
- Mobility Bus
- Taxi Cab
- Coach Bus
- Police Car
- Ambulance
Under no circumstances may a registered participant or volunteer be transported in a staff vehicle. (This includes before and after all programs.)
1 Media on the Site/Promotion
If a media representative arrives on your program site, please refer them to the Program Supervisor or Program Co-ordinator.
Under no circumstances may names of participants be released or opinions on issues be expressed to the media by a staff person.
All media contact must be coordinated through the Program Co-ordinator.
2. Photography
An authorization form must be completed by a participant's parent or guardian before photographs can be used for display or promotion. Photographs cannot be taken for personal use.
You may Video tape the participants as part of your program. The video tape must be used only during the program time frame and tapes MAY NOT be duplicated without parental consent.

If a participant is not picked up after the program is completed, a staff member must stay with the child. After fifteen minutes have passed, begin to call parents or guardians as listed on the class roster. If you are not successful in making contact with them, then contact your Program Supervisor.
If there is an After Care service at the site take the child to After Care and pass on all the appropriate information to the After Care staff. Place a sign on the main door of your site indicating children not picked up by twenty minutes past the hour will be taken to the After Care service located at: ___________________________________________________
(never display the participant's name).
If there is no After Care service on site stay with the child until a Supervisor or parent arrives. Under no circumstances can you leave a participant unsupervised.
To ensure all Camp and Program participant personal safety is maintained, the following code of behavior policy will be adhered to.
Individuals may only participate in a program and/or camp if, and only if, the safety of others is not put at risk.
If a participant poses a "threat to the safety, of any other participant or staff", the following steps will be followed
"Threat To The Safety of any other participant or staf" is defined as:
- Physically aggressive behvior
- Coarse language
- Uncooperative behavior
- Inappropriate behavior (i.e. wandering away from the program camp).
Step # 1
The Program Leader/Counsellor will inform their Program or Camp Supervisor immediately following. any threatening, behavior. The participant involved in the incident will be informed that his/her behavior is unacceptable, and that the behavior in question will not be tolerated in the future.
Step # 2
The Supervisor will record the incident in writing on an Incident Report Formand forward it to the Program Coordinator within 24 hours. (All incidents will be recorded in writing). The Program Coordinator will
forward the Incident Report onto the Area Manager.
Step # 3
Based on the severitv of the incident, and the number of previous incidents, the Program Coordinator will determine whether or not the participant's parent will be contacted.
If the participant's parent is contacted. the Coordinator will inform the parent that this is the first and only warning they will receive. In the event that another problem in this area arises, their child will be removed from the program. The Program Coordinator will then send written correspondence to the parent detailing their child's beliavior, the incident, and our code of behavior policy.
Step # 4
If another incident of threatening behavior arises with the same child, the child will be removed from the program. Once again, the parent will be notified as outlined above. (Note: The area managerr will be consulted by the Program Coordinator prior to a child being removed from a service).
Step # 5
\\'hen a child is removed from a service. they will be refunded only the number of classes they did not attend. The Program Coordinator will process the refund.
Note: When a child is remved from a program, they will not be allowed to re-register for the same service in the future unless approved by the Program Coordinator.
(The Program Coordinator will also inform Registration of the individual child in question).
Step # 6
If appropriate, the Program Coordinator will try and place the child into another program, and the child will be placed on probation in the new service for three classes. If the child's negative behavior persists, he/she will be removed from the program
Staff must work closely with all participants and parents to ensure all children's experiences within our services are SAFE AND POSITIVE.
GENERAL FACTS ABOUT PEANUTS AND PEANUT ALLERGIC REACTIONS:
Peanut allergies can be fatal. The peanut-allergic person must always be on guard and can never take food for granted.
A 25% increase in all forms of allergies has been predicted for the next decade. The frequencyof both fatal food induced reactions has risen over the past years and will likely continue to rise.
Having the potentially fatal allergy causes daily emotional stress. Children live with the fear of death. It is important to create a safe environment.
An estimated figure of one death per week due to anaphylactic reaction (peanut allergies) has been found in Canada.
POLICY
1. For the safety of the children within our services, the Town of Markham will not serve peanuts, nut products or foods containing nut by-products to participants during programming time.
Example: Cooking Classes, End of Session Parties, Cooking Activities, Special Snacks, etc.
2. Participants are allowed to bring peanuts, nut products and foods containing nut byproducts for their own personal consumption.
Example: Lunch or Snack
3. Children will not be allowed to bring peanut-related products to a program or camp for the purpose of sharing with other children.
Example: End of Session Party ,Cooking Activity where children are to bring food items from home, etc.
4. Staff will still be responsible for checking information on the class lists regarding participant allergies and taking the necessary steps to ensure the safety of children from exposure to any items they are allergic to.
Example: Milk Products, Penicillin, Flour, etc.
SUBJECT: Permits
PURPOSE: To establish a procedure for all Co-ordinators and instructors to follow when a permit conflict arises.
Permit Conflict: From time to time we are cancelled at a school due to an internal functon. Sometimes we do not always know about these cancellations until the night of the class and everyone arrives. If this happens to you:
1 Try to inform as many parents as possible before dropping off their children.
2. Do NOT let anyone walk home by themselves, no matter how close they live. Phone parents (no parents/ask caretaker) to pick up their children. If the parent is not available, then someone must stay with the participants until the parent comes.
3. Do NOT take children home in your car. If at all possible ,get the parent to come for the child.
4. Post signs at the location informing participants.
5. Inform Program Supervisor of a cancellation.
NOTE: These procedures must be followed for each individual class per site.
A. General Information
It is the responsibility of all staff to know the location of telephone(s), fire extinguisher(s), first-aid kit(s) and emergency exit(s) in and around their programming site. Staff must also know the exact street address of their program site and have their class list with them at all times.
B. Minor Injury
If an injury is minor - i.e. a scrape or small cut, use the first-aid supplies and follow appropriate first-aid practices. Let the participant sit out if they wish, but monitor them closely. At the end of the program make sure the parent is informed of the injury and outline the first aid used to address the injury. It is also important to inform the parent what actions you have taken to prevent the injury from happening in the future.
C. Major Injury
With a major injury such as broken bones, bleeding or burns, immediately administer first aid, call an ambulance, then contact the Program Supervisor and/or Co-ordinator and the parent(s). A staff member may accompany the injured participant to the hospital if the parent cannot get to the programming site first, provided the other participants will not be left unattended. Ensure all appropriate participant information is given to medical staff , i.e. allergies.
NOTE: Any injury to the head must be treated as a major injury. This includes cuts, blows and bumps to the head.
D. Incidents/Injury Involving Body Fluids
When dealing with an injury/incident involving body fluids (i.e. blood, saliva, etc.), latex gloves must always be used. These gloves must be discarded in a sealed plastic bag and placed in a waste receptacle outside the programming area.
E. Injury to Staff and Volunteers Ensure appropriate first aid is administered and an accident report is completed.
F. Accident Report
An accident report must be completed and handed in to the Program Co-ordinator within 24 hours following any minor or major injury. The report is an internal document and must not be released to anyone unless approved by the Program Co-ordinator. One copy of the report is forwarded to your Area Manager and one to the Clerks Department.
G. Fire/Poison and Odors
1 . Phone the fire hall immediately upon the detection of smoke, fire or poisonous chemicals. (Some of the Town facilities are equipped with a direct phone system to the Fire Department. The Program Supervisor/Program Co-ordinator will familiarize you with the use of the direct phone system.)
2. In an orderly manner ensure that everyone leaves the building, including checking isolated rooms, i.e. washrooms, dressing rooms and storage rooms, if time permits. Be sure to conduct a head count once outside the building.
Have a staff member wait outside the building at the main entrance to direct the firefighting crew to the location of the problem.
3. For any incident involving the evacuation of the building, staff must inform the Program Co-ordinator immediately.

CALLING AN AMBULANCE:
First be sure that an ambulance is really needed. Unnecessary calls for ambulances reduce the efficiency of the system.
When you call, simply say: "Hello, I need an ambulance." The dispatch will then ask you for the following information:

NOTE: "LET THEM HANG UP FIRST'
When the ambulance arrives, provide information and help only when requested.
The parent of the injured camper/participant must be contacted immediately and informed that the child is being transferred by ambulance to Markham-Stouffville Hospital. This call should be made by a senior staff member. A senior staff member always accompanies the camper in the ambulance and meets the parent at the hospital.
SUBJECT: General Personnel
Wages
Wages will be paid by direct deposit every two weeks. Please pick up your pay stub after 3:00 p.m. on Fridays at your community centre. Your Program Co-ordinator will provide you with a bi-weekly pay schedule.
Canada Pension
Deductions for the Canada Pension Plan are taken from every employee, in the amount of 2.5% of your earnings.
Vacation Pay
All employees are paid vacation pay at the rate of 4% of their gross earnings. This money will be paid every pay day.
Employment Insurance
Any employee who earns over $298 bi-weekly will have employment insurance deducted.
Workers'Compensation
All employees are covered by the Ontario Workers' Compensation Act. Any injury you incur at work must be reported to your Supervisor immediately.
Termination of Contract
The contract for all temporary staff may be terminated under the following conditions by the Program Co-ordinator or Supervisor:
1 . Insufficient Registration of Participants
In the case of a program not receiving sufficient participation to operate, NOTICE OF ONE WEEK WILL BE GIVEN TO THOSE STAFF AFFECTED by a cancellation of a program, and payment made for the period of employment completed.
2. Poor Performance of Staff
In the case of poor performance, termination, if warranted, could be effected within one day to one week. Payment will be to the end of the completed employment period.
3. Gross Misconduct of Staff (for example, intolerable behaviour of a major nature) In a case such as this, separation would be immediate. Alcohol consumption and/or smoking while working will result in immediate dismissal.
4. Resignation of Staff A minimum of two (2) weeks notice is expected.
Note: Procedure for terminating employment under items 1, 2 and 3 will be in consultation with the related staff person, his/her immediate Supervisor, and the Program Co-ordinator of Recreation and Culture or her appointee.
Staff Hiring
Staff are responsible to re-apply as a part-time employee once per year. Seasonal part-time instructors re-apply in September each year.
Summer camp staff refer to policy 09.22, Camp Hiring Procedures and Time Line.
Seasonal Contract Employment
All programming staff are hired on contract, on a session-to-session basis. Seasonal employment is dependent upon the number of positions available, registration numbers, etc.; therefore, employment cannot be and is not guaranteed from one session to the next.
Staff Discipline
If a staff person must be disciplined, the following general procedure will take place:
1. A verbal warning will be given to the staff person by the Supervisor.
2. If the same person must be disciplined a second time, a written warning will be given by the Supervisor, using the "Staff Performance Documentation" form. A copy of this written warning will be given to the Program Co-ordinator and a copy will be filed in the employee's personnel file.
3. If the same person must be disciplined a third time, the employee will be given a verbal notice of suspension, demotion or dismissal by the Supervisor or Program Co-ordinator.
The above procedure will be ignored and instant suspension or dismissal will result if there is gross negligence, any type of harassment toward a participant or staff member, or complete insubordination displayed by any staff person.
Personal Effects
Care will be taken to protect staff property, but the Town of Markham is not responsible for any personal effects of staff.
ALL staff are required to have current Emergency First Aid certification when contracted with the Town of Markham.
2. Some employment positions may require a higher level of First Aid certification. These First Aid certification requirements will be outlined in the specific job description.
3. As Emergency First Aid certification is a requirement of employment, it is the responsibility of the employee to pay for, and maintain their own certification. (The Town of Markham will set up First Aid Courses each session so that staff may complete their certification.) The cost of Emergency First Aid certification is approximately $60.00 per person, based on 1995 prices, and is current for two years.
SUBJECT: Camp Staff Hiring Procedures and Time Lines
PURPOSE:
To ensure fair and consistent hiring of all summer camp applicants.
To ensure the strongest candidates are placed in available positions.
PROCEDURES:
1 . Deliver summer employment brochures to schools by January 1. Post summer employment posters in community centres and schools by January 1.
2. Camp Supervisor and Camp Specialist application deadline date: January 31.
3. All Program Co-ordinators to review Camp Supervisor/Specialist applications by February 7.
4. All Program Co-ordinators to interview, hire and place Supervisors and specialists by the end of February.
5. Camp Counsellor/Coach/Counsellor-in-Training/Mediator application deadline date: end of March break.
Applications received after the deadline may not be accepted. A standardized letter will be sent out informing the applicant that the position application deadline date has passed (see sample).
6. All Program Co-ordinators to screen Counsellor/Coach/Counsellor-inTraining/Mediator applications by the end of March. Determine who will be invited for a camp interview.
Program Co-ordinators will use the following criteria when screening the above applications:

- Leadership Experience
- Related Camp Experience
- Related Volunteer Experience
- Related Certifications
- Related Education
A standardized letter will be sent to all candidates who will be invited for an interview.
NOTE: Correspondence to Counsellor/Coach/Counsellor-in-Training and Mediators applicants will not be sent out until all initial screening is completed.
1 . Host a Town-wide camp interview day/evening during the first or second Saturday of April. Following the interview day/evening, determine who will be called back for a second interview. Standardized letters will be sent out following the interview day/evening (see sample). Camp Supervisors and Specialists will assist with the Town-wide camp interview day/evening.
2. Program Co-ordinators to schedule second interviews with candidates at the area level.
3, Following a second interview, Program Co-ordinators will offer employment to successful candidates by the end of April. Program Co-ordinators will also contact those candidates who will not be offered employment.
A standardized letter will be sent to all successful candidates (see sample). Also, a standardized letter will be sent out to those candidates who are not being offered a position.
Summer camp applications are available beginning January 1 at the following locations:
Town of Markham Civic Centre, Human Resources Office
Town of Markham Civic Centre, Recreation and Culture Office
Thornhill Community Centre
Milliken Mills Community Centre
Centennial Community Centre
Armadale Community Centre
Applications must be returned to the Civic Centre, Human Resources Office, by the deadline dates indicated. Applications may not be returned to the community centres.
Purpose: To effectively train and orient staff and provide consistency in staff training.
Specified staff training activities will be determined by your Program Coordinator prior to your program/camp/service beginning.
Individual staff training activities may be cancelled if registration for services are low, or if your Program Coordinator deems training is not necessary.
The Province of Ontario minimum hourly wage will be the rate paid to all employees who attend 'SPECIFIED' staff training events/staff related functions.
Types of Training
1 'SPECIFIED' Staff Training Events/Staff Related Functions (minimum wage will be paid)
- Staff training and orientation.
- Staff meetings.
- End or beginning of session clean-up (to be verified with the Program Coordinator).
- Extra program performance events (i.e.: Camp Creative Parent's nights, etc.).
- Other staff events as deemed necessary by the Program Coordinator.
2. 'OTHER" Staff Training Events (minimum wage will not be paid)
- Upgrading training sessions (i.e.: Pre-school workshop, sport specified training, etc.). Non-attendance at these upgrading sessions may result in a decrease of session hours at the discretion of the Program Coordinator.
- First Aid training.
- Safety training.
Purpose:
To enable part-time instructors to receive a discount rate on programs they register their child(ren) in while they are teaching with the Town of Markham.
Policy and Procedure:
1 Program instructors who wish to register their child(ren) in a program at the same time they are teaching with the Town of Markham may be eligible to receive a 20% discount on the total cost of their child(ren)'s program fees.
This includes registrations on pre-school programs that are offered Monday through Friday only.
2. Program instructors who do not reside in the Town of Markham and wish to enrol their child(ren) in a program while they teach will not b echarged the non-resident fee and may also be eligible for a 20% discount on their child(ren)'s program registration fee(s).
3. The program instructor will complete their child(ren)'s registration form and submit it to their Program Coordinator at least two weeks before their child(ren)'s program is scheduled to begin.
4. The Program Coordinator will determine if approval can be granted, as the Program Coordinator must determine that the safety of the program will not be compromised by an extra participant. If the registration is approved, the Program Coordinator will submit the registration form with the approval of the 20% discount.
UNDER NO CIRCUMSTANCE WILL A TOWN OF MARKHAM EMPLOYEE ADMINISTER MEDICATION TO A PARTICIPANT.
A TOWN OF MARKHAM EMPLOYEE MAY DISPENSE, MEDICATION BY USING THE FOLLOWING PROCEDURES:
(DISPENSING MEDICATION REEFERS TO GIVING OUT THE MEDICATION, BUT NOT ACTUALLY ADMINISTERING IT).
AS THE TOWN OF MARKHAM DOES NOT ADMINSTER MEDICATION, THE PARTICIPANT MUST BE OLD ENOUGH TO ADMINISTER THEIR OWN MEDICATION. THIS INCLUDES ALL FORMS OF MEDICATION ADMINISTRATION. EXAMPLE: ORAL, INJECTION, EXTERNAL, ETC.
1. OBTAIN IN WRITING WHAT MEDICATION HAS TO BE DISPENSED TO A PARTICIPANT. THE "MEDICATION DISPENSING FORM" MUST BE USED. (SEE ATTACHED FORM).
2. ALL MEDICATION(S) MUST BE TAKEN FROM A PARTICIPANT AS SOON AS THEY ARRIVE ON SITE. A STAFF PERSON WILL PLACE THE MEDICATION IN A LOCKED CABINET LOCATED IN A SAFE PLACE. PRIOR TO PUTTING THE MEDICATION IN THE CABINET, THE MEDICATION WILL BE CLEARLY LABELED WITH THE PARTICIPANT'S NAME, ADDRESS, TELEPHONE NUMBER AND EMERGENCY CONTACT NAME AND TELEPHONE NUMBER.
NOTE: IF MEDICATION MUST REMAIN WITH A PARTICIPANT AT ALL TIMES (IE: EPIPEN) THE PARTICIPANT WILL GIVE THE MEDICATION TO THEIR ASSIGNED COUNSELLOR/LEADER. THE COUNSELLOR WILL CARRY THE MEDICATION IN A FANNY PACK. (THE PARTICIPANTS MUST ALSO WEAR A MEDIC-ALERT BRACELET AT ALL TIMES).
3. WHEN DISPENSING THE MEDICATION, AS PER THE MEDICATION
DISPENSING FORM, THE STAFF.MUST RECORD WHEN, WHAT, AND HOW
MUCH MEDICATION WAS DISPENSED. THE MEDICATION "DISPENSING
LOG FORM" MUST BE COMPLETED (SEE ATTACHED FORM).
THE MEDICATION LOG FORM MUST BE RETURNED TO THE PROGRAM COORDINATOR OR SUPERVISOR AT THE END OF EACH DAY.
4. THERE MUST BE TWO STAFF PRESENT WHEN DISPENSING MEDICATION TO A PARTICIPANT. (IF EITHER STAFF IS UNCLEAR AS TO THE DIRECTIONS OF DISPENSING THE MEDICATION, A PHONE CALL HOME OR TO THE EMERGENCY CONTACT MUST BE MADE BEFORE THE MEDICATION IS DISPENSED).
S. A COPY OF THE " MEDICATION DISPENSING LOG FORM" MUST BE SENT HOME TO THE PARENT/GUARDIAN AFTER THE END OF EACH DAY TO VERIFY WHAT, WHEN AND HOW MUCH MEDICATION WAS DISPENSED.
